Feature
Event management
Every event gets its own workspace. The inquiry, the conversation, the bookings, the documents, the timeline. All connected. Your team sees the full picture from first inquiry to final wrap-up without switching between tools or chasing updates.
One workspace per event
A wedding inquiry comes in. Over the next six weeks, there are emails, a WhatsApp exchange, two phone calls, a revised quote, a catering change, and a confirmed floor plan. In most venues, that info ends up in five different places. In Rookoo, it all lives in one event workspace. Every event moves through clear stages: draft, inquiry, confirmed, completed, archived. Your team always knows where things stand without asking around.
Every detail, traceable
The original conversation is linked directly to the event, so every question, preference, and agreement is traceable. Resource allocations handle the details: which room, which caterer, which AV setup, what time, with buffer periods for setup and teardown. Tentative or confirmed, it's all visible on the timeline. You can track custom data too. Dietary restrictions, parking arrangements, decoration preferences. Whatever matters for your venue.
Connected across the system
Need to share event details with the customer? A secure link gives them direct access, not back-and-forth PDFs. And because the event workspace is connected to your inbox, calendar, and AI agent, every update syncs across the system. Change a booking date, and the calendar reflects it. Confirm an event, and allocations update. No one has to remember to tell someone else.
- One workspace per event, everything linked
- Clear stages from inquiry to archived
- Resource allocations with dates, buffers, and statuses
- Shareable event pages for your customers
I talked to a venue manager who had the details of a 200-person corporate event spread across 14 email threads, a shared Google Doc, two WhatsApp groups, and a paper folder. She was doing a great job. But imagine if all of that was in one place. That's what we built.
