Brussels Special Venues (BSV) is a non-profit network of more than 55 exceptional event spaces across Brussels. From historic landmarks to industrial halls and modern conference centres, BSV helps event organisers, planners, and companies find the right venue for any occasion.
Every week, BSV's AI assistant Bruno handles more than 50 new event enquiries. Bruno collects the details, structures the request, and distributes it to every venue in the network that matches the organiser's needs.
That's a lot of briefings going out to a lot of venues. And for each of those venues, someone — or something — has to read them, check availability, and respond.
For Tour & Taxis, that someone is Toto.
👋 Meet Toto
Tour & Taxis is one of Brussels' most iconic venues. A historic site that has reinvented itself as a destination for large-scale events, corporate gatherings, and cultural moments.
As a member of the Brussels Special Venues network, Tour & Taxis receives a steady stream of inbound event enquiries through BSV.
The challenge wasn't a lack of interest. It was the volume and pace of it.
Event enquiries don't arrive neatly packaged. They come at all hours, missing details, and often asking several questions at once. Before Rookoo, the Tour & Taxis team had to manually read each briefing from BSV, cross-check their availability, and compose a response - all before a competitor venue had already replied.
So together, Rookoo and Tour & Taxis introduced Toto: a dedicated AI event assistant that operates as a full member of the team, handling first-line responses to every BSV briefing that comes in.
🤝 Agent meets Agent: how it works
This is where the story gets interesting.
When an organiser submits an event request through Brussels Special Venues, Bruno — BSV's AI assistant — picks it up. Bruno qualifies the enquiry, collects the missing details, and sends a structured briefing to every venue in the network that could be a fit.
One of those briefings lands in Tour & Taxis' inbox.
Toto reads it.
Not a human. Toto.
Toto parses the briefing: event type, number of guests, preferred dates, setup requirements, and checks availability directly against Tour & Taxis' calendar. From there, the conversation branches:
- If the date works, Toto responds with a proposal. It outlines what Tour & Taxis can offer, invites the organiser to react, and keeps the conversation moving.
- If the date doesn't work, Toto doesn't just say no. It asks whether the organiser has flexibility, proposes alternatives, and keeps the door open.
When the organiser responds positively and the conversation is ready to move forward, the Tour & Taxis team steps in — with full context, without starting from scratch.
Two AI agents. One seamless conversation. A human team that enters exactly when it matters.
📊 Early results
Toto launched recently and is already finding its feet. In the first phase, Toto has handled more than 150 inbound email conversations — briefings from Bruno and direct enquiries alike.
Availability is currently checked against a live Sharepoint-connected calendar, with a planned migration to Rookoo Calendar as the next step. As that infrastructure deepens, Toto's ability to respond faster and more accurately will grow with it.
This is early. But the foundation is solid.

Bruno and Toto aren't just automating tasks, they're creating a new kind of operational relationship.
